What is IVM Volunteer App?

Ident-A-Kid Visitor Management provides a Volunteer App that allows Districts to manage all volunteers, approval statuses and expiration dates through one portal. The Volunteer App also digitizes all volunteer background check forms, allowing you to easily gather volunteer information to be processed, in any language, without messy handwritten forms. The Volunteer App also provides integrations to process volunteer background checks through SterlingVolunteers.

What is Sterling Volunteers?

Sterling Volunteers is a company that is focused on helping organizations reduce the time and cost associated with volunteer screening. SterlingVolunteers reprocesses background checks each month to provide you continued updates on your volunteers for one year. Districts choose the packages for background checks that meet their needs and choose who will pay for the check.

How does the integration work?

A volunteer will fill out the District’s new digital Volunteer Application. This information is then sent to SterlingVolunteers, to gather any additional information from the Volunteer, including consent and optionally payment, then processes the background check. IVM’s Volunteer App will display the status of this background check and will receive authorization to add the volunteer into your schools once the background check has been cleared. If the Volunteer’s status changes throughout the year, they will be removed from the school’s approved volunteer list and will not be able to check-in. The volunteer app manages expiration as well, so once their check needs to be renewed, the volunteer will no longer be authorized to check-in at school locations.

Do I need to be a customer of SterlingVolunteers to use the Volunteer App?

No. The Volunteer App is available to any customer who would like a portal to manage volunteers in more detail than the District or School manager is able to. Volunteer coordinators need a way to capture volunteer information digitally and this eliminates the need for manual entry. This information can be exported and imported into your background check provider of choice.

How much time & money can my school/district save? 

Preserve your budget by allowing (or requiring) volunteers to pay for all or part of their screening – or asking for an optional contribution. Thanks to volunteer contributions, clients report saving an average of 40% on screening and of those volunteers who contribute, on average, they cover 90% of their background check cost.

What are the requirements to integrate with SterlingVolunteers?

To use the Volunteer App with SterlingVolunteers integration with Identakid Visitor Management you must first have an Enterprise (District) account with us.  Also, you must purchase the Volunteer App. Please contact sales@identakid.com for pricing.

Where can I manage my volunteers and their background screenings?

After the integration is purchased, Ident-A-Kid will create a portal and a form for your volunteers to fill out to complete the background screening. This information can be transferred to SterlingVolunteers for processing. Ident-A-Kid district admins will be able to see the status of all volunteer background checks within the Volunteer App.

Can I import a list of current Volunteers?

Yes. You can import a list of current, active volunteers, with their expiration dates and statuses to the Volunteer App.

Can I customize the background check form to include a signature or other information?

Yes! Background check forms can be tailored to collect any information you need, including references and signatures. If you have a form in another language, please send this to us and we may digitize it as well. If you are processing background checks through SterlingVolunteers, please know, they will capture all consent and authorization from the Volunteer before processing the background check. It does not need to be on our form.

How much does the background check cost?

Background check costs are determined by what level check you are performing and quantity processed. Please email Sales@identakid.com and we will get you in touch with your SterlingVolunteers rep to provide pricing. As the customer, you have the option to pay for the checks, have the volunteer pay, or even allow them to optionally contribute towards the cost. SterlingVolunteers estimated when given the option, 30% of volunteers optionally pay for this check.

How often are re-screenings done?  Does the screening expire?

Background screenings that are approved will, by default, last for one year.  You are able to change this expiration to a time that works best for you. If importing your own volunteer list, you may set the expiration you desire per volunteer. If processed through SterlingVolunteers, volunteers are rescreened monthly for one year.

Does this integration notify any government agencies or immigration services?

No, the integration doesn’t require social security numbers.

How secure is the website used that collects the information of volunteers?

Sterling Volunteers complies with all national and local regulations with respect to the storage and transmission of sensitive data and is hosted in ISO 27001-audited data centers. Making the Sterling Volunteer platform extremely secure.
